The Problem: The Friday Nightmare
Every Thursday afternoon, anxiety crept in. In our small B2B team, the same mistake repeated itself every Friday. Overdue unprocessed orders lingered, and buyer complaint emails flooded the inbox.
"Oops, we missed another one." Someone scrolled through Excel line by line while another dug through emails to track delivery status. Over 2 hours evaporated each week on this cycle.
The Experiment: Windows Device Plus Claude Code
"Can this process be automated?" That question sparked everything.
Our first attempt added simple `IF` statements and the `TODAY()` function to Google Sheets:
=IF(AND(D2<TODAY(), F2="Unprocessed"), "⚠️ Overdue", "")
Combined with color highlighting, overdue unprocessed orders became instantly visible. But we still needed to manually sort by buyer and product to establish priorities.
Then came the game-changer. We used Claude Code to read Google Sheets data and automatically categorize like this:
• Delivery date within 7 days from today: "Critical"
• Already past deadline: "Act Now"
• Buyer tier plus order value combined: Calculate "priority score"

The Most Surprising Discovery
While analyzing orders, Claude Code spotted a pattern we never anticipated. One buyer always ordered on Wednesdays, but our team processed on Thursday afternoon. In their timezone, it was already "late." A time-zone gap causing cascading problems.
Based on Claude Code's finding, we moved our processing to Wednesday noon. That buyer's complaints vanished entirely.
What Our Small Team Learned
AI doesn't solve everything automatically, but it identifies precisely which 90% of work people should delegate. The remaining 10% becomes far faster. And that 10% shifted from "handling complaints" to "strengthening customer relationships."
