The Problem: The Buyer List Backlog
Every Friday afternoon, the same scene played out at our Windows desktop.
"Didn't this buyer already inquire last month?"
"Is this person's email domain from an actual company?"
"It's been weeks without a response, is it worth following up?"
Our Google Sheet buyer database had grown to over 500 entries. Manually reviewing each one took 4 to 5 hours per week. Meanwhile, new inquiries kept flowing in while genuine prospects waited for our replies.
The Solution: Bot-Powered Auto-Categorization
Our mission to Claude Code was straightforward.
After scanning the Google Sheet buyer data:
1. Calculate days since last response
2. Verify company email domain legitimacy
3. Check for duplicate inquiries in history
4. Score priority level (1-5 scale)
5. Auto-sort results into priority tiers
The bot evaluated each buyer across five dimensions:
• Days waiting for response (longer waits = higher priority)
• Email domain credibility (corporate vs. free)
• Frequency of past interactions
• Specificity of inquiry content
• Recency of activity

The Surprise
What surprised us was how often the bot's ranking contradicted our manual instincts.
We'd think, "This buyer messaged recently, I can get to them later." But the bot would flag them as "top priority: waiting 3 weeks for response, verified corporate domain, positive interaction history." When we prioritized those overlooked prospects, our conversion rate jumped 18%.
Team Reaction
One team member summed it up perfectly: "Now I just come in, look at the bot's sorted list, and work top to bottom." No complex instructions needed. The numbers speak for themselves.
