The Handshake on Inventory Management Ended
Every Monday morning, I spent 30 minutes in front of a Windows device manually checking inventory status. Calculating when to reorder, verifying lapses caused by time differences, adjusting timing. That was routine until last month.
But one day, Google Sheets started moving on its own.
Setup Phase: Embedding Thresholds into Google Sheets
I opened Claude Code and created simple automation logic by monitoring three columns in Google Sheets.
**Monitored Columns**
- Current stock level (real-time updates)
- Minimum order quantity (team-defined baseline)
- Shipping lead time (by supplier)
If stock level < (daily average sales × shipping period)
→ Trigger automatic alert
This single condition formula changed everything.
How It Works
Every day at a scheduled time (6 AM), Claude Code automatically reads data from Google Sheets. It calculates inventory figures, and if below the threshold, it immediately sends a signal via team messages or email. There is no room for human judgment to interfere.
For the first two weeks, I remained skeptical. Could the bot really catch everything accurately? But that doubt was unfounded. In reality, it captured situations like these:
• Unexpected demand spikes due to seasonal changes
• Early orders required because suppliers delayed shipments
• Shifts in sales velocity for specific products
Mistakes and Improvements
The first setup had one oversight. Weekends weren't factored in, which meant receiving alerts on Friday afternoon when orders couldn't be placed until Monday, creating false alarms. To fix this, I added a buffer (safety stock) to the shipping period calculation.
Final threshold = (daily avg sales × shipping period) + safety stock + weekend buffer
Dream Team's Reaction
The biggest change before and after automation was psychological peace of mind. The stress of missing orders due to stockouts disappeared. Instead, freed time could be spent on customer service and next quarter planning, things that actually matter.
The dream team bots (automated robot team members) now also play the inventory manager role. Humans only provide final approval.
Scalability Potential
This structure extends beyond simple inventory management and applies to other areas.
• Customer follow-up cycle tracking
• Contract renewal period forecasting
• Payment deadline auto-reminders
The lesson learned is that even small teams, with proper systems in place, can have AI do the monitoring.
